Frequently Asked Questions:

What is WeCollab?

WeCollab is a cloud-based collaboration platform designed for educators, school leaders, and district teams engaged in Collaborative Response. It helps schools organize and monitor student needs, supports, and progress in a centralized and efficient way through structured meeting recording processes, coordinated and automated communication processes. Built on the foundation of the collaborative team meeting, the heart of Collaborative Response, WeCollab compiles comprehensive student profiles and staff to-do lists of actions committed to from all meetings. Every child has a story, and WeCollab ensures their story is never lost, but rather recorded to support transitions from year to year and school to school in order to expedite the ability of educators to focus on their incredible work: student success.

Why WeCollab?

Early on, there was no system that aligned with the unique, robust, and powerful structures of Collaborative Response. There were science boards, recipe cards, Word docs (and then Google docs), but those still required copying and pasting into emails and then deliberate and timely follow up to see what had happened and what had worked for students. There was no solution to seamlessly engage in Collaborative Response.

Designed by educators for educators, WeCollab had its foundation built on the heart of Collaborative Response, the collaborative team meeting: how might we be able to digitally view which students were receiving which levels of support; who needed to know what from the meeting; how might the actions and supports for students be compiled for easy access; how might updates be communicated efficiently with transparency; and so on… Over time, with the ongoing feedback from users, not only has WeCollab has evolved to align with each and every step of the collaborative team meeting agenda to include norm review, celebrations, and team tasks, for example, but it has grown in potential with comprehensive student profiles, custom team boards, embedded supports and the student support network, the student support plan module, parallel processes at the district level, and so much more.

Moving from conversation to action, WeCollab empowers classrooms, schools, and systems to provide the very best response for each and every child.

Who is WeCollab designed for?

WeCollab is made for teachers, principals, school leaders, and district administrators who wish for a centralized system for collaborative meetings, student support, intervention monitoring, and transparent communication.

How does WeCollab support collaboration among school staff?

WeCollab allows teachers, administrators, and district teams to collaborate in real-time by sharing student progress, support plans, and meeting notes—all in one secure place.

Can WeCollab be customized for our school or district’s needs?

Yes! Through the configuration area of the system, districts and schools are able customize the system for collaborative response in their context to align with their unique requirements.

How secure is WeCollab?

Security is a top priority, and WeCollab follows industry best practices to meet educational data protection standards at all levels. WeCollab is highly secure, ensuring that student data, team communications, and school records remain private and protected.

  • WeCollab Ensures Data Encryption and Secure Storage: All data is encrypted end-to-end in transit (SSL/TLS) and at rest to prevent unauthorized access. WeCollab is hosted on reliable, high-security cloud infrastructure that complies with strict data protection regulations.
  • WeCollab Provides Role-Based Access Control (RBAC): Only authorized users can access sensitive data based on their role (school staff, school teacher, school leader, district leader). Granular permissions ensure that staff only see the information they need—protecting student privacy.
  • WeCollab is in Compliance with Privacy Laws: WeCollab is fully compliant with major educational privacy laws, including:
    • PIPEDA (Canada) – Governs private sector data handling.
    • FERPA (U.S.) – Protects student educational records.
    • GDPR (Europe) – Protects personal data and privacy.
  • WeCollab Ensures Secure Authentication for Login: Single Sign-On (SSO) integration allows staff to use their district login credentials, reducing password vulnerabilities.
  • WeCollab Employs Automatic Backups for Data Protection: Regular automated backups ensure data integrity and prevent loss. Disaster recovery systems allow quick restoration of data if needed.
  • WeCollab has Strict Data Privacy Policies: There is no third party access to WeCollab. WeCollab never sells or shares data with advertisers or unauthorized parties. Schools retain full ownership of their data, with complete control over who can access it.

WeCollab is built with security and privacy in mind, because the purpose of software is student-centred conversations. Schools can trust that WeCollab meets the highest standards for educational data security

How do teachers and school leaders access WeCollab?

WeCollab is cloud-based and accessible through any web browser. Users simply log in with secure credentials provided by their school or district.

What makes WeCollab better for student support than spreadsheets or paper-based tracking?

WeCollab is built around the student-centred conversation that is the Collaborative Team Meeting. While staff may get together to talk about students, the structure of Jigsaw Learning’s CTM Agenda, including norms, celebrations, and team tasks are inherently prompted within the meeting process. Every child’s story is secured, with no lost data and real-time updates able to be made. WeCollab is affordable, secure, and designed by educators for educators. It streamlines student support, intervention monitoring, and collaboration, making it a game-changer for schools and districts.

Is WeCollab cloud-based, or does it require installation?

It is 100% cloud-based, so no installation is needed.

Can WeCollab be accessed on mobile devices and tablets?

Yes! It is mobile-friendly and works on tablets, allowing teachers to access student data on the go.

Is WeCollab user-friendly for teachers who are not tech-savvy?

Yes! It has a simple, intuitive interface designed for quick adoption, even for those unfamiliar with tech tools.

What kind of training is available for new users?

WeCollab offers:

  • Live training sessions
  • On-demand video tutorials
  • Step-by-step user guides
  • One-on-one coaching

How long does it take to learn WeCollab?

The response to this is simple, yet complex. Most educators can learn the basics in one to two training sessions, with ongoing support available. However, to fully maximize the system, we recommend setting up a learning plan with a WeCollab lead that brings staff together to have focused conversation, sharing of practice, and learning new nuggets on multiple occasions in a school year to deeply embed WeCollab into the Collaborative Response structures and process and to allow time for users to become familiar with what they do not know so they can ask questions.

Is there customer support if we need help?

Yes! A dedicated WeCollab team is available to provide support in a timely manner - via email, virtual connection, or even in person if it is arranged.

Do you offer professional development or onboarding sessions?

Yes! WeCollab provides custom PD sessions to help schools integrate the platform effectively.

How does WeCollab compare to other student support platforms?

WeCollab stands out because it is

  • Designed by educators for educators
  • The only system purpose-built to align with Collaborative Response to enhance student support and collective staff efficacy
  • An affordable software to capture every child’s story, to benefit both the student through the years but also the teachers receiving the student in the future
